Privacy Policy

InstaOffice is a workspace marketplace operating at instaoffice.in. We help individuals and businesses discover coworking spaces, managed offices, virtual offices, day passes, meeting rooms and event spaces across India. This Privacy Policy explains what personal information we collect, why we collect it, and the choices you have. For the purpose of Indian data-protection law, we are the “data fiduciary” with respect to the data you share with us through this platform.

We collect information in three ways: information you give us directly, information collected automatically when you use the Platform, and information we receive from partners.

Information you give us:

• name, mobile number, work email, company name when you submit a lead, request a tour, complete the quick assessment, share a requirement or list a space;
• team size, preferred city, locality, space type, expected move-in and other requirement details you choose to share;
• property details (name, address, ownership, photos / Drive links) when you list a space on the Platform;
• messages you send via WhatsApp, email or our forms.

Information collected automatically:

• basic device and browser information (user agent, screen size, language);
• pages viewed, time on page, referring URL and approximate location (derived from IP);
• cookies and similar technologies for site functionality, analytics and remembering your city selection.

Information from partners:

• operator-supplied listing data (spaces, prices, amenities, photos);
• aggregated lead-quality feedback shared back to us by operator partners.

We use the information described above to:

• respond to your enquiry, schedule a tour, share a shortlist or follow up on a quote;
• connect you with workspace operators or property owners relevant to your requirement;
• send transactional emails (confirmations, recaps) and our internal team notifications about new leads;
• operate, maintain and improve the Platform, including fixing bugs, refining search and measuring feature adoption;
• detect and prevent fraud, spam and abuse (for example, the honeypot and verification checks on our forms);
• comply with applicable legal, regulatory and tax obligations.

We do not sell your personal information to third parties.

When you submit any lead form on the Platform, you consent to InstaOffice and its authorised partners contacting you by phone, SMS, email or WhatsApp regarding your enquiry. This consent applies even if your mobile number is registered on the National Do Not Call (NDNC) registry. You may withdraw consent at any time by emailing info@instaoffice.in . Note that withdrawing consent will stop further outreach but does not affect outreach that has already taken place.

We share your personal information only with the parties listed below:

• Workspace operators / property owners: when you express interest in a specific space or product category, we share your name, contact details and stated requirement with the relevant operator so they can reach out with options.
• Service providers: email-delivery providers (e.g. SendGrid), hosting and infrastructure partners, analytics providers, WhatsApp Business, and similar vendors who help us run the Platform. They are bound by confidentiality and data-protection obligations.
• Legal and safety: we may disclose information when required by law, court order or governmental request, or to enforce our Terms, prevent fraud, or protect the rights, property or safety of InstaOffice, our users or others.

We use cookies and similar technologies to keep the Platform working (for example, remembering your selected city), to measure how the site is used and to understand which pages and features perform best.

You can disable cookies in your browser settings. Doing so may affect parts of the Platform that rely on them. For example, your city preference may need to be set on each visit.

We retain your personal information for as long as is necessary to fulfil the purpose for which it was collected, to provide ongoing service, to comply with applicable legal obligations (such as tax record-keeping), or to enforce our Terms. Leads and tour requests are typically retained for up to 36 months after last interaction. You may request earlier deletion as described below.

Subject to applicable law, you have the right to:

• access the personal information we hold about you;
• request correction of inaccurate or incomplete information;
• request deletion of your personal information (subject to legal retention requirements);
• withdraw consent for marketing or partner outreach;
• lodge a complaint with the relevant data-protection authority.

We use industry-standard administrative, technical and physical safeguards to protect your information, including HTTPS in transit, access controls, principle-of-least-privilege for staff, and verified service providers for email and infrastructure. No method of transmission over the internet is 100% secure; if you believe your information has been compromised, please notify us immediately at info@instaoffice.in.

The Platform is not directed at children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us so we can remove it.

Some of our service providers may process data in jurisdictions outside India. In such cases we ensure appropriate safeguards are in place so the protection of your data is consistent with this Privacy Policy and applicable Indian data-protection law.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date at the top of this page; significant changes may also be communicated to active users by email. Continued use of the Platform after a change indicates acceptance of the updated policy.
